If you have offline contributions to your campaign, and you want them to be reflected in the campaign, add to the scoreboard or simply want all the information to be collected in one place, you can do it easily with the Stockcrowd software.
Depending on your needs, the software offers you several options
1.- Individual offline contribution
1.1. Offline contribution in donation forms and landings
If you need to add one or several, but few, offline contributions to the software, you can add them one by one by entering your campaign with the Select button. Once inside, click on Management (Three People Icon)> Contributions> Options> New offline contribution.
Once there you will see a screen just like the donation form, and in fact the procedure of adding an offline donation is similar to the one that the donor would do when making it online.
In this first step, you must choose the amount of the donation.
If you need your amount to have decimals, write it in "Other amount" separated by a point, for example: 17.50
Next, you must fill in the donor information:
The data requested will be the same as that we request from our donors.
In the event that the amount exceeds 100, or the certificate is requested, the form would show the extended data record.
Once this offline donation has been entered, it will appear in the Contribution Dashboard along with the rest of the donations and in the reports that we download.
1.2. Offline donation in Rewards campaigns
To add offline donations linked to products you must click on + Add reward. From there the drop-down will appear with the available rewards. The procedure is the same that the donor would do when adding products to the purchase.
In the event that the products have associated shipping costs and we do not want to include them in the offline donation, we must click on "Skip shipping costs for this offline donation"
1.3. Offline donations to p2p campaigns
If your campaign has Peer to Peer and you want to include your offline donation in one of the P2P campaigns, the procedure is similar to the one previously written with the difference that a drop-down will appear on the data screen with the p2p campaigns. Select which one you want to add your offline contribution to and fill in the donor information.
1.4 Extra options:
- If we want to add more information to this donation, such as the postal address, telephone number or any extra field of the form, we can do so by clicking on the options button (to the right of this donation)> Payment Information
- You can also generate a donation certificate by clicking on Options (to the right of the donation) and accessing the Generate certificate option.
- If you also want this certificate to be sent to the donor in a thank you email, you can do it from Options> Resend contribution email.
2.- Import contributions offline through Excel
If what you want is to import a large number of donations to the software, you can do it by filling out an Excel template, with the data of these donations, so that you do not have to enter them one by one.
This option is not available to associate offline donations with rewards or p2p campaigns.
To access this template, enter your campaign through the Select button and click on Management (Three People Icon)> Contributions> Import donations
From here you can download the template and once you have it ready upload it again.
The template has many columns to fill in, but only the following are required:
- Donor type
- Type of doc and number
- Generate 182: in the event that we want to issue a donation certificate
- Payment date
The next step is to check that everything has been imported and if not, what errors are there so that you can fix them and continue the import. Click on Options> Donations Pending Import
Here you can view the records that have not been imported, and in the options button, you can edit or delete this data. Once that record is deleted, it will no longer be in the queue for import. On the other hand, if the error is fixed, the record goes directly to the import queue.
